We do not disclose personal information to third parties except where required by law, where necessary with your consent, or where permitted under applicable law.
We may entrust limited processing to service providers for inquiry management, messaging, appointment coordination, cloud storage, analytics, security, or system operations. We supervise such service providers as required.
For inquiry handling, message delivery, AI-assisted response drafting, cloud storage, analytics, staff notifications, and related operations, we may use service providers that are based outside Japan or that operate servers outside Japan.
Service providers used as processors or entrusted vendors may include Google LLC in the United States for cloud hosting, storage, and logs through Firebase / Google Cloud, and Anthropic, PBC in the United States for AI-assisted response drafting through Claude API or similar services. When using AI services such as Anthropic, we take measures such as minimizing input information, checking contractual or service terms that restrict training use where applicable, and applying access controls.
Services used with your consent or another basis required by applicable law may include Meta Platforms, Inc. in the United States for messaging and inquiry handling through WhatsApp / Instagram, LY Corporation and LINE-related services, Google LLC in the United States for Google Analytics 4, and Telegram-related services for staff notifications. Communications and metadata are processed under each service's terms and privacy policy.
When personal data is provided to a foreign third party or service provider, we seek to provide information required under applicable law, including the name of the foreign country, information about the personal information protection system of that country, and information about safeguards taken by the recipient, at the time of consent or through the External Transmission Policy or similar notices. We may refer to materials published by Japan's Personal Information Protection Commission, including the Guidelines on Provision to a Third Party in a Foreign Country.
Direct identifiers such as patient names, phone numbers, and clinical information are limited to what is necessary for the relevant purpose. For internal notifications and AI processing, we minimize, summarize, or mask such information where reasonably possible.
We take reasonable and appropriate measures to protect personal information against leakage, loss, damage, unauthorized access, and misuse. These measures may include access controls, credential management, log review, staff training, and service-provider supervision.
